Privacy Policy for Surveys

This Privacy Policy explains how BEELINE GROUP, LLC, doing business as Beeline Group (“Beeline,” “we,” “us,” or “our”), collects, uses, stores, and discloses information through the Garden Center Surveys mobile application (the “App”).

The App is a private business tool intended for authorized surveyors, contractors, and personnel who collect store and garden-center information for installation planning, fixture production, layout review, and related business operations.

By using the App, you acknowledge the practices described in this Privacy Policy.

1. Information We Collect

A. Surveyor information

The App collects information entered by or about the person completing a survey, including:

  • Surveyor name

  • Surveyor company

  • Survey date

  • Survey creation, modification, completion, and upload timestamps

  • Survey notes

B. Store and personnel information

When a surveyor selects a store and completes a survey, the submitted survey may include:

  • Store number

  • Shipping address

  • City

  • State or province

  • Postal code

  • Country

  • Store phone number

  • Store fax number

  • County

  • Region

  • Store manager, person-in-charge, or other store contact name

Some catalog fields may be empty if that information is not available.

C. Garden-center layout and measurement information

The App collects information needed to create and reproduce a garden-center layout, including:

  • Canvas and room dimensions

  • Room and wall boundaries

  • Entrance locations

  • Table and hanging-basket table locations

  • Table types, orientations, pairings, and identifiers

  • Canopy locations and measured canopy heights

  • Spigot locations and water-pressure measurements

  • Ramp locations, connections, and measured distances

  • Zone assignments, when used

  • Grid coordinates and other layout relationships

  • Survey notes and corrections

This information is used to reproduce, review, and edit the surveyed layout and to support installation and production calculations.

D. Survey identifiers and status information

Each survey contains technical information used to identify and manage it, such as:

  • A unique survey identifier

  • Survey file and schema version

  • Survey status

  • Visit date

  • Creation, update, completion, and upload timestamps

  • Store-based storage path and filename information

These identifiers are used to distinguish surveys and revisions, including multiple surveys performed at the same store.

E. Access-code information

The App requires an eight-character access code provided by an authorized coordinator.

The App processes the access code to determine whether access should be granted. The App is designed not to include the access code itself in uploaded survey files.

After successful access, the App stores an access-granted date and time locally on the device. This allows the device to remain authorized for seven days before the access code must be entered again.

The access code is not a personal user account and is not intended to uniquely identify an individual surveyor.

F. Anonymous authentication and technical information

The App uses Supabase anonymous authentication to establish a secure session for uploading survey files. This may generate and process:

  • A pseudonymous or anonymous user identifier

  • Authentication and session tokens

  • Internet Protocol address

  • Request timestamps

  • Device, operating-system, network, or browser information

  • Security, server, and diagnostic logs

  • Upload status and error information

Surveyors do not create named accounts, usernames, or passwords through the App.

Supabase processes customer-provided application data on our behalf as a service provider. Additional information about Supabase’s practices is available at https://supabase.com/privacy.

G. Information stored locally on the device

The App stores limited information locally, including:

  • One unfinished survey draft

  • The current survey’s form and layout information

  • Anonymous authentication session information

  • The date and time access was granted

  • Information required to restore an interrupted survey

The unfinished survey is stored so it can be continued if the App closes, the device restarts, the browser refreshes, or another interruption occurs.

2. Information We Do Not Intentionally Collect

The App is not designed to collect:

  • Precise GPS location

  • Contact lists

  • Photos or videos

  • Microphone recordings

  • Advertising identifiers

  • Payment-card or financial-account information

  • Health or medical information

  • Social Security numbers

  • Consumer purchasing behavior

The App does not display third-party advertisements and is not designed to track users across unrelated applications or websites.

Surveyors should not enter sensitive personal information, passwords, financial information, medical information, or unrelated personal details in survey notes.

3. How We Collect Information

We collect information:

  • Directly from surveyors when they select a store, complete a form, construct a layout, record measurements, or enter notes

  • Automatically through Supabase authentication, storage, security, and server operations

  • Locally through the App’s survey-recovery and access-control features

4. How We Use Information

We use collected information to:

  • Confirm access to the App

  • Start, save, restore, and complete surveys

  • Upload completed surveys

  • Identify surveyed stores

  • Reproduce and review garden-center layouts

  • Correct survey errors

  • Compare different surveys or revisions for the same store

  • Calculate fixture and production requirements

  • Plan installations, zones, ramps, entrances, and related work

  • Maintain operational and project records

  • Protect the App and survey storage from unauthorized access

  • Diagnose upload failures and technical problems

  • Improve the App’s reliability and usability

  • Comply with legal, contractual, safety, or regulatory obligations

We do not use survey information for third-party advertising or unrelated consumer profiling.

5. How We Disclose Information

We may disclose information to the following categories of recipients.

A. Authorized company personnel

Survey data may be accessed by authorized Beeline employees, project managers, administrators, production personnel, installation teams, and other personnel who need the information for legitimate business purposes.

B. Authorized contractors and project participants

Information may be disclosed to authorized contractors, installation partners, service providers, customers, or project representatives when reasonably necessary to review a survey, correct a layout, calculate production requirements, or complete an installation.

C. Cloud service providers

We use Supabase for anonymous authentication, cloud storage, and related infrastructure. Supabase processes data on our behalf to provide these services.

We require service providers handling data on our behalf to protect it appropriately and use it only for authorized purposes.

D. Legal and safety disclosures

We may disclose information when we reasonably believe disclosure is necessary to:

  • Comply with applicable law, regulation, legal process, or governmental request

  • Enforce our agreements or protect our legal rights

  • Investigate fraud, misuse, or security incidents

  • Protect the safety, rights, and property of Beeline, App users, customers, or others

E. Business transactions

If Beeline is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, information may be transferred as part of that transaction, subject to applicable law and appropriate confidentiality protections.

6. Sale of Information, Advertising, and Tracking

We do not sell personal information.

We do not share personal information for cross-context behavioral advertising or targeted advertising.

The App does not contain third-party advertising and is not designed to track surveyors across unrelated applications, services, or websites.

7. Data Retention

We retain information according to the following practices.

Local survey drafts

An unfinished survey remains on the device until one of the following occurs:

  • The survey is successfully uploaded and the completion process finishes

  • The App’s locally stored data is cleared

  • The App is uninstalled

  • The locally stored draft is otherwise removed through an authorized application workflow

A failed upload does not intentionally delete the unfinished local survey.

Access authorization

The locally stored access-granted timestamp is used to determine whether the device remains within its seven-day authorization period. Entering a valid access code again may refresh that timestamp.

Submitted surveys

Submitted surveys, including previous versions and revisions, may be retained as project and business records. Earlier versions may be retained intentionally so authorized personnel can compare revisions, identify missing information, and understand changes.

We retain submitted survey information for the duration of the relevant installation or customer program and afterward for as long as reasonably necessary for:

  • Installation and production planning

  • Project history and recordkeeping

  • Quality control

  • Dispute resolution

  • Security and fraud prevention

  • Contractual obligations

  • Legal and regulatory compliance

When information is no longer reasonably necessary, we may delete, aggregate, or deidentify it.

Technical records

Authentication records, security logs, upload records, and diagnostic information may be retained for as long as reasonably necessary to operate, secure, and troubleshoot the App and associated services.

8. Data-Deletion and Privacy Requests

The App does not require surveyors to create named user accounts. However, individuals may contact us to request access to, correction of, or deletion of personal information associated with them.

To help us locate a survey, a request should provide, when available:

  • Surveyor name

  • Surveyor company

  • Store number

  • Approximate survey or upload date

  • Description of the requested action

Do not include the App’s access code in a privacy request.

We may need to verify the requester’s identity and authority before fulfilling a request. Certain information may be retained when necessary for contractual, operational, security, legal, or recordkeeping obligations.

9. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, alteration, misuse, or disclosure.

These measures may include:

  • Restricted access to cloud storage

  • Authentication and storage-access policies

  • Encrypted network transmission

  • Access-code controls

  • Limited internal access based on business need

  • Review of storage and application security settings

No electronic system can be guaranteed to be completely secure. Surveyors should protect their devices, prevent unauthorized use of the App, and report suspected unauthorized access promptly.

10. International Data Processing

Information may be processed and stored in the United States or in other locations where Beeline or its service providers operate.

When information is transferred between jurisdictions, we take reasonable steps to use appropriate safeguards as required by applicable law.

11. Your Privacy Rights

Depending on where you live, applicable law may provide rights concerning personal information, including the right to:

  • Request access to personal information

  • Request correction of inaccurate information

  • Request deletion of certain information

  • Request information about how data is used or disclosed

  • Object to or restrict certain processing

  • Withdraw consent when processing is based on consent

  • File a complaint with an appropriate data-protection authority

We will not unlawfully discriminate against an individual for exercising an applicable privacy right.

12. Children’s Privacy

The App is a business tool intended for authorized adult surveyors, employees, and contractors. It is not directed to children under 13, and we do not knowingly collect personal information from children.

If we learn that information was collected from a child contrary to this policy, we will take reasonable steps to delete it.

13. Third-Party Services

The App relies on third-party services, including Supabase, to provide authentication, storage, and infrastructure.

Third-party service providers may process technical information under their own terms and privacy documentation when acting independently. When they process survey information on our behalf, they are expected to provide protections consistent with their contractual obligations and applicable law.

The Apple App Store and Google Play may separately process information relating to downloading, installing, updating, or using the App under their respective privacy policies.

14. Changes to This Privacy Policy

We may update this Privacy Policy when the App, our data practices, our service providers, or applicable requirements change.

When we make changes, we will update the “Last Updated” date at the top of this page. If a change materially affects how personal information is handled, we may provide additional notice through the App, our website, or another appropriate method.

Continued use of the App after an updated policy becomes effective is subject to the revised policy.
